Billing Practices

Neo•Paradigms provides a sliding scale and creative financing for Non-Profit agencies. Neo•Paradigms will make every reasonable effort to work within tight budget constraints. Neo•Paradigms can waive flat fee costs (setup, installation, etc.), perform staged development and devilerable schedules to meet fiscal timeline budget management objectives and, in the case of educational or charitable organizations, donate up to half the project development costs. These considerations are made on a per case basis and subject to perceived need and staff approval.

Without prior arrangements in writing, our standard billing practices are:

• 30% of project development billing to be delivered upon mutual acceptance of the contract,
• 20% further of project development billing upon acceptance of design - acceptance will be rendered in writing after client review of project templates, designs and interface.
• Upon receipt of design acceptance as signified by the stipulated 20% of development billing, Neo•Paradigms will complete the project at which time the balance of the development costs and any remaining hardware and third party goods costs will be due and payable. Installation, setup and delivery will occur within 24 hours of receipt of final payment.
• Remaining balance may not exceed original quoted projection by more than 9% without written authorization by the client.
• Remaining balance may exceed original quoted projection of costs by more than 9% only after written authorization and acceptance by the client. Written authorization will be stipulated as an addendum to the project contract.
• Third party and hardware vendor fulfillment schedules are covered by agreements made between the client and the vendor and are not the responsibility of Neo•Paradigms.
• Neo•Paradigms assumes responsibility only for products directly purchased by Neo•Paradigms in support of your project. Unless otherwise specified in writing, Neo•Paradigms will act as a coordinator only between its clients and other vendors (e.g. Dell, Sun Microsystems, Microsoft, etc.).
• All products purchased by Neo•Paradigms for its clients are the property of the client and will be purchased in the name of the client.
• All promotional bonuses, rebates and cost reductions will be itemized and rendered to the client.
• When availability of stipulated products prevents Neo•Paradigms from arranging purchase, Neo•Paradigms will obtain written authorization from the client prior to introducing a substituion. Written authorization will be stipulated as an addendum to the project contract.

Quotes are performed after a free consultation and determination of needs. Our project coordinators are very thorough in working with you to define your business goals, detemination of required levels of service to meet your goals and in developing an action plan. Where relevent, our consultants will also work with you to evaluate your special needs with regard to costs and billing adjustments.
